Cover Letter

To Whom It May Concern:

I am Felicia Victoria Chanco, junior public relations and advertising major with a minor in Spanish at Chapman University. I am interested in applying for a position at your organization and think that I have the skills sets to positively contribute to your organization.

This past semester, I worked as an account coordinator at Chapman ImPResssions, Chapman’s first student-run PR firm, for our client American Diabetes Association of Orange County. Through minor adversities with our client, I have learned real-life experience of professional-client relations and strong communication skills with my fellow account member and executive to overcome them. While working and being rewarded through interaction with different types of individuals, I maintained a professional and positive attitude towards the unplanned setbacks.

Interning at Echo Media Group over the summer gave me the opportunity to learn the fundamentals of the working at an established PR agency. Given tasks such as compiling media lists, writing PR articles and pitch letters, and calling media outlets, I strived to perform at an efficient level and producing quality work. Surrounded by veterans in the industry, I observed and learned from them lessons of professionalism and management.

I believe I can benefit your organization with my unique combination of professional and personal experiences. If you have questions or need more information, please feel free to email me at [email protected] or contact me via phone at (562) 229-2536.

Thank you in advance,

Felicia Chanco

Executive Summary and Situation Analysis

The American Diabetes Association of Orange County (ADAOC) is a non-profit organization that aims to prevent and cure diabetes and to improve the lives of all people affected by diabetes. Their most recent plans are to begin a coalition of the resources around Orange County that pertain to diabetes. If successful, the coalition would pioneer the other coalition forces around the nation under the other branches of the American Diabetes Association.

Ultimately creating a website to host a directory of these resources, we collaborated directly with the director of ADAOC, Allison Hickey, to put into motion these efforts. It was our duty to create a list of individual leaders of the multiple industries that work with the diabetes community. With this information, we would invite them to take a chair on the board of the coalition through email and phone call. I researched contacts from clinic, nutrition, and fitness centers and community organizations that were later compiled into a larger list of the team’s contact for use once the coalition was established. The list of industry leaders, an invitation email, a follow-up phone script, and a comprehensive contact list are included in the portfolio.

Second phase of the coalition was to create a website. It was our duty to contact web developers to request a quote and sample of their work to later employ to create the site. Alongside that, we started to produce copy for the site, including a welcome note for the home page, a history of American Diabetes Association, and a letter from Allison Hickey. Lastly, we began to prepare a press release as if the website was ready to launch. The portfolio includes a compiled web developer log, copy of the welcome note, history of ADA and Allison Hickey’s letter, and the press release.

The portfolio also includes the presentation that was given to Allison Hickey at the initial meeting as well as the information provided by her for our research.

Email: Invitation to Potential Coalition Board Members

!

Dear ___________,

I am contacting you on behalf of the American Diabetes

Association of Orange County (ADA). To combat the rise in

diabetes, the ADA is initiating the Stop Diabetes Orange County

Collaborative, a coalition of individuals and organizations, who

work to serve those affected with the disease and to offer diabetes

education and support programs for Orange County.

We would like to invite you to serve on the executive board of the

Stop Diabetes Orange County Collaborative. The board will

pioneer the effort to unite all the resources for those affected by

diabetes, their families, and the community. The board will meet

once before the end of the year and twice over the course of

2012.

We need your presence on the board for your perspective

and insight, as we create a stronger, more aware community,

ready to take on the fight against diabetes. Your dedication to the

cause and your expertise will be beneficial to this initiative and,

ultimately, the accomplishment of our goal.

I look forward to hearing your response. Should you have any

questions or concerns, please contact Felicia Chanco at (562) 229-

2536 or [email protected].

Sincerely,

Allison Hickey

Phone Script: Potential Board Members

Good afternoon, this is Felicia, calling on behalf of Alison Hickey the executive director of the American Diabetes Association of Orange County. Is now a good time to talk or should I reach you at another time? If yes: when would be the best time to reach you? Yes: About a week ago an email was sent to you about the future Stop Diabetes Coalition Board. We would like to extend a position to you. Did you get this email? Yes: Okay in that case would you be interested in taking this position? The first meeting will be taking place within the next few weeks and we would like to know if you will be in attendance.

Member: What will be going on during the first meeting? Me: Well, to be honest, we’re not entirely sure what is going to happen exactly.

What we do know is that we are still finalizing board members and once that is finished, you will all come together in a set place and discuss the actions that will be taken to stop the spread of diabetes throughout Orange County!

So, about that board position?

Member: okay...well why should I join? I am already on a lot of other boards what makes this one different?

ME: That is actually a great question, and its a simple one at that. Because joining this coalition that is associated directly with the ADA is an honor. The ADA is the largest diabetes organization in the world, and to be a part of that would be not only be beneficial to you, but all the organizations you are associated with.

Yes: Fantastic! We will send you more information as soon as possible and if you have any questions please feel free to call me at (562) 229-2536 or via email at [email protected]

No: Would you like to hear more about it? NO: Okay well thank you for your time, if you do become interested the email has

all the information you will need! Have a good afternoon!

No: Would you like to hear more about it? Yes: About a week ago we sent an email to you to offer you a position on a board

for a coalition that will bring together the resources and people in the Orange County area to aid in the fight against Diabetes. You will be meeting once or twice through out the year one of these meetings being within the next couple of weeks. If you have any more questions feel free to call me at (562) 229-2536 or email at [email protected]

The American Diabetes Association was founded by 28

physicians in 1940, and throughout their many years as an

organization they have continued to learn more and more about the

genetic and environmental factors, complications, and new types of

insulin and treatments for their patients.1948 was a huge year for the

ADA, now the largest provider of diabetes camps in the world, was

created, the first National Diabetes week was observed, and the first

edition of Diabetes Forecast was published.

Finally, in 1970 their volunteer corps was recognized as a

voluntary heath organization with general membership along with its

professional membership. These gatherings soon lead to special

events being held, just like today’s nation wide Step Out: Walk to

Fight Diabetes events. Then in the 1980’s the organization continued

to grow and gain power and influence in the political world as well as

gained stepping points in the medical community.

After gaining more and more strength the ADA was, in 1993,

affiliated with more than 50 organizations to later become a national

organization in 1998. Since then the American Diabetes Association

has made it their mission to prevent and cure diabetes and improve

the lives of all people affected by diabetes.

Most recently, in 2009 the Association found, after much

research, that most Americans are ill informed and do not fully

understand diabetes and the impact in has on the lives of those

affected. In response to this information the ADA embarked on their

Stop Diabetes movement, in which they plan to gain 1 million

supporters every year to end the spread of diabetes!!

Copy: Welcome Letter from ADA Director Allison Hickey

!

Greetings,

I am Allison Hickey, director of American Diabetes

Association of Orange County, and I would like to welcome

you to the Orange County Stop Diabetes Coalition. This

initiative was a direct response to the need for a united front

against the rising numbers of people being affected by

diabetes. Pioneering what we hope to be a national effort,

the Orange County Stop Diabetes Coalition aims to be a

proactive force in the community by offering a completely

accessible tool to educate the community of the resources

available to it.

Compiling OCSDC certified organizations and individuals, I

ensure you and your dear ones you that you will only get

quality contacts from our directory of dedicated and

knowledgeable organizations. At OCSDC, we hoped to bring

you a more comprehensive directory by not only hosting

contacts from the nutrition, fitness, education, and

pharmaceutical industries but also including resources from

governmental advocates and high-risk communities. OCSDC

aims to empower the community of Orange County to be

proactive in their lives.

Thank you for supporting our efforts.

Warm regards,

Alison Hickey

Who We Are

Our Mission:. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .

Did you know that one in three children born in the United States in the year 2000 will develop diabetes in their lifetime, if current trends continue? Diabetes is growing at an alarming rate. Statistics released in 2008 show that nearly 24 million children and adults live with diabetes in the United States, while another 57 million Americans are at risk for developing type 2 diabetes. The American Diabetes Association is leading the fight against diabetes and its deadly consequences. Our mission is to prevent and cure diabetes and to improve the lives of all people affected by diabetes. To fulfill this mission, the American Diabetes Association:

! funds and advocates for scientific research to prevent, cure and manage diabetes

! publishes scientific findings

! fights for the rights of people with diabetes

! provides information and services to people with diabetes, their families, health professionals and the public

The Association acts on its mission through a number of critical programs and activities that are directed to a broad range of constituents encompassing consumers, research scientists, health care professionals, corporations and communities. As part of our movement to Stop Diabetes, once and for all, we are asking people to:

SHARE their personal story as a way to inspire others

ACT by volunteering their time to help in their community

LEARN about diabetes

GIVE their time, their financial support, their hope for a cure

OUR MISSION:

To prevent

and cure

diabetes and

to improve

Our Story:. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .

Prior to the early 1920s, a diabetes diagnosis was a slow and certain death sentence. Four scientists at the University of Toronto, Canada — Sir Frederick Grant Banting, Dr. Charles H. Best, Dr. Bertram Collip and John J. R. MacLeod — changed these grim odds for countless people when they discovered insulin in 1921. However, as Sir Frederick Banting stated, “Insulin is not a cure. More work needs to be done!” In 1940, a group of 26 physicians came together to form the American Diabetes Association with the intent to promote the scientific study of diabetes. Dr. Charles H. Best provided the Association with the framework and early leadership for a formalized diabetes research program. In 1970, the American Diabetes Association diversified and welcomed members and volunteers. Soon after, the Association invited nurses, dietitians and other health care professionals to join its mission. In 1998, the Association restructured from more than 50 independent affiliates, governed by a local Board of Directors, into one nationwide American Diabetes Association. Today, because of the dedication of our strong volunteer force and staff, the American Diabetes Association is the authoritative voice in the diabetes community — providing research, information and public awareness, and advocacy — as well as a world leader in supporting, funding and honoring those who have dedicated themselves to diabetes research.

Our Network:. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .

The moving force behind the work of the American Diabetes Association is a network of more than one million volunteers, a membership of more than 441,000 people with diabetes, their families and caregivers, a professional society of nearly 16,500 health care professionals, as well as nearly 900 staff members.

Our Opportunity:. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .

The time is now to grow our movement and ensure everybody understands that diabetes is not merely a “condition,” but a disease of epidemic proportions that has deadly consequences. The American Diabetes Association is committed to leading this effort and conquering diabetes, once and for all. As an organization, we are focused on two critical success factors:

Building Partnerships and Maximizing Relationships! We are working on transforming our culture from a transactional, event management

organization to a relationship building and relationship management organization.

Integrating the Association’s Mission into EVERY Revenue Generation Activity! We are working on ensuring that donors, participants and sponsors are aware of the

devastating impact of diabetes; understand the mission of the American Diabetes Association; and know how their participation and support can make a difference in the lives of all people affected by diabetes.

Our Strategy:. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .

The American Diabetes Association’s 2008-2011 Strategic Plan is a critical “roadmap” on our path toward reaching the Association’s mission. It contains strategies and targets designed to lead to specific outcomes in these areas:

! Research Funding

! Diabetes Awareness & Advocacy

! Support People with Diabetes & Health Care Professionals

! Create a Healthy Environment

! Revenue Generation

The Association strives to achieve its mission by focusing on three strategic goals:

1. The vast majority of those with or at risk for diabetes will understand that Diabetes Is Serious & Has Deadly Consequences because of easily accessible education and prevention programs.

2. Changes in Health Care Delivery as a result of Association-led collaborations and strategic alliances among nonprofit, commercial and governmental organizations will enable people with diabetes to access the most effective treatments and care at the time of diagnosis.

3. Increased Funding for the Full Spectrum of Diabetes Research, due to Association-led collaborations and strategic alliances among nonprofit, commercial and governmental organizations, will facilitate improved treatments toward a cure and prevention strategies for diabetes and its complications.

AMERICAN DIABETES ASSOCIATION

Key Priorities:

1. The Association’s impact on people with diabetes will increase by devoting resources to target programs and initiatives that will:

! Accelerate the development and translation of new methods to reach cures and/or new therapies

! Remove barriers that prevent access to quality health care and eliminate discrimination in the work place, schools and other entities

! Enhance public awareness of the seriousness of diabetes and the value of early detection and aggressive treatment

! Establish and promote partnerships with organizations that have an interest in diabetes

! Maintain leadership in the creation and dissemination of diabetes-related information

2. The Association will significantly increase its annual revenue by adding new strategies to revenue generation:

! Diversify the Association’s revenue sources by making donor development an organization-wide priority

! Continue to grow market-based special events and develop product and market extensions

! Focus on return on investment as a key criterion for revenue generating activities

! Net assets will be greater than 25%, but will not exceed 40%

3. In order to achieve the above changes, the American Diabetes Association will transform its culture and become a world-class volunteer and staff organization. We will:

! Develop superior capabilities in staff and volunteers through emphasis on selection, retention, training, development, education and recognition

! Increase the effectiveness of all staff and volunteers through better application of technology

! Strive to have volunteers and staff who are reflective of the people we serve

! Focus on achieving excellence in everything we do and hold staff and volunteers accountable for their responsibilities

Our Focus:. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .

At the American Diabetes Association, it is our everyday responsibility to be good financial stewards, while ensuring that the funds we raise benefit those affected by diabetes. A total of 73% of expenses goes directly into mission activities that include funding diabetes research, delivering information to consumers and health care professionals, advocating on behalf of individuals with diabetes, and helping to educate the public about diabetes and its deadly consequences. Our four key investment areas are:

1. Research

2. Information3. Awareness, Education & Support

4. Advocacy

How We Raise Our Money:The Association supports its mission through the generosity of individuals and corporations. Specifically, we generate funds via the American Diabetes Association’s Research Foundation; our signature campaigns — Step Out: Walk to Fight Diabetes and Tour de Cure; School Walk for Diabetes; big ticket events such as Father of the Year and Gala; Corporate Sponsorships; Individual Giving (i.e. Special/Major Gifts and Planned Gifts/Bequests); Honorariums; Workplace Giving; and Direct Response Marketing campaigns.

Additional revenue is generated via meetings; our American Diabetes Association EXPOs; the Association’s Diabetes Camp program; our publications; as well as membership.

How We Spend Our Money:In 2009, donations were used to support the Association’s mission as follows:

Please note: A snapshot of the Association’s four key funding areas is provided on the next page. For detailed information, please go to Section 3 (Research), Section 4 (Information), Section 5 (Public Awareness), Section 6 (Advocacy) and Section 7 (Revenue Generation/Stewardship).

Research: In 2009, the American Diabetes Association and its Research Foundation provided a total of $33.55 million to research grants, funding 435 awards at 142 leading research institutions in the United States. The diabetes research projects we support cover the spectrum from islet cell biology and transplantation techniques, to studies in education and behavioral issues. Over the years, the American Diabetes Association has invested more than $500 million in diabetes research and provided funding for more than 4,000 research projects.

! Information: As the leading voice in the diabetes community, the American Diabetes Association provides credible, up-to-date diabetes-related information and resources through several channels:

• The Association’s award-winning website at www.diabetes.org• Center for Information and Community Support at 1-800-DIABETES (receives

approximately 25,000 calls and emails a month)• American Diabetes Association Education Recognition Program (features more than

2,050 recognized programs at more than 3,250 U.S. sites)• Patient & Professional Seminars• American Diabetes Association Bookstore at www.store.diabetes.org• Membership, general & professional (Diabetes Forecast magazine, scientific & medical journals)• Scientific Sessions (the world’s largest diabetes conference) ! Awareness, Education & Support: To make sure diabetes and its deadly consequences are on everybody’s radar-screen, the American Diabetes Association reaches out to people affected by diabetes and their families and caregivers, at-risk populations, health care professionals and the general public via various mechanisms, including:

• Stop DiabetesSM (www.stopdiabetes.com, our nationwide movement, inviting people to Share, Act, Learn and Give)

• American Diabetes Association Alert DaySM (www.diabetes.org/alert, taking place the fourth Tuesday in March)

• American Diabetes Month® (www.diabetes.org/adm, taking place in November) • American Diabetes Association EXPO, www.diabetes.org/expo• Community-based outreach programs such as: — Live Empowered — Por Tu Familia — Awakening the Spirit — Family Link (www.diabetes.org/familylink) and Diabetes Camp (www.diabetes.org/camp)• Winning at Work (http://www.diabetes.org/community-events/programs/winning-at-work/)

! Advocacy: Advocacy plays an integral role in the American Diabetes Association’s work to fulfill its mission. We fight for people with diabetes in Washington, DC, in state capitols and in our courts. Diabetes Advocates around the country work to increase funding to prevent, treat and cure diabetes; prevent diabetes and improve access to health care; and eliminate discrimination against people with diabetes at school, work and elsewhere in their lives.

With support from the American Diabetes Association’s advocacy efforts, federal health care reform legislation that will end discrimination in health insurance based on diabetes became law in March 2010. In 2009, restrictions were lifted on stem cell research, health insurance was expanded to millions of children, and state laws were passed to make schools safer for children with diabetes and to help prevent diabetes. Together, we made our country a fairer place for people with diabetes through victories in the courts and more than 100 workshops around the country to empower parents of children with diabetes. Visit http://www.diabetes.org/takeaction for detailed information regarding the Association’s advocacy efforts.

Diabetes: The FactsDiabetes is a disease in which the body does not produce or properly use insulin, a hormone that is needed to convert sugar, starches and other food into energy needed for daily life. The cause of diabetes remains a mystery, although research has shown that both genetics and environmental factors appear to play roles.

! Type 1 Diabetes An autoimmune disease in which the body does not produce any insulin, most often

occurring in children and young adults. People with type 1 diabetes must take daily insulin injections to stay alive.

! Type 2 Diabetes A metabolic disorder resulting from the body’s inability to make enough or properly

use insulin. This form of the disease is associated with older age, obesity, family history of diabetes, prior history of gestational diabetes, impaired glucose tolerance, physical inactivity and race/ethnicity.

! Gestational diabetes A condition in which women without previously diagnosed diabetes exhibit high blood

glucose levels during pregnancy.Women who have had gestational diabetes have a 40-60% chance of developing diabetes in the next 5-10 years.

Diabetes Statistics:*. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .

! 233,619: The number of annual deaths that diabetes contributed to in the United States according to death certificate reports from 2005 (diabetes is likely to be underreported as a cause of death).

! 23.6 million: The estimated number of children and adults in the United States who have diabetes.

! 57 million: The estimated number of Americans who have pre-diabetes.

! 1.6 million: The number of new cases of diabetes diagnosed in people aged 20 years or older in 2007.

! 11.5 million: The number of women in the United States who have diabetes.

! Hispanic/Latino Americans are 1.8 times more likely to have diabetes than non-Hispanic whites.

! African Americans are 1.6 times more likely to have diabetes than non-Hispanic whites.
