A database or file is a collection of information on a particular subject and contains a number

of separate documents all with the same structure. Each database on DataStar is identified by

a label (e.g., IMS Product Monographs is “IPOP”). The content in a database may be an online

version of something previously published in print, entirely new material or a compilation of

information appearing in many different publications. Databases are sometimes divided up into

several segments. Each segment, most commonly divided by dates of coverage, contains a different

piece of the database. An example is EMBASE®: EMED covers 1996 to the present; EMZZ covers

1974 to the present; EM73 covers 1947 to 1973. Available databases are described more fully

in the Dialog • DataStar Database Catalog.

Kinds of databases

Each unit in a database is referred to as a record or document. Exactly what makes up a document

differs from database to database. There are four general types of databases: Bibliographic,

Numeric, Directories and Complete text.

> Bibliographic databases. Each record in a bibliographic database is a reference or citation

(many also include a summary or an abstract) to a publication, magazine or journal article,

news story, conference paper, etc. (e.g., MEDLINE® [MEDL], Inspec® [INSP], KOSMET: Cosmetic

Science [KOSM]).

> Numeric databases. Each record in a numeric database is a table of statistical data, often with

text added (e.g., TableBase™ [BTBL]).

> Directory databases. Each record gives factual information about companies, organizations,

products, chemical compounds, etc. (e.g., Dun & Bradstreet European Financial Records [DEFR],

Creditreform: Swiss Companies [CRCH], Martindale: The Complete Drug Reference [MART]).

> Complete text databases. Each record includes the complete text of magazine articles,

newswire stories, etc. (e.g., BBC International Reports [BBCM], Le Monde [LMNA]).

In addition, some databases contain a mix of several different kinds of data, such as bibliographic

and fulltext records (e.g., Business & Industry™ [BIDB] and Gale Group PROMT® [PTSP]); and graphics

(e.g., chemical structures in Adis R&D Insight [ADRD]).

Database updates

Databases are updated regularly, usually according to a fixed schedule, such as daily, weekly

or monthly. Some databases are updated annually, or whenever there is a new version produced.

Update frequencies are sometimes different from when articles appear in print versus online.

A database noted as having an Update Frequency of “Closed” or “Archive” contains backfiles

covering a specific time period. Current updates are added to a different file segment. For example,

NewsRoom (NE04) is considered “Archive” with data from 2004. Other databases are “Closed”

in that they contain a finite time period and are no longer updating.

Most databases update cumulatively, that is, new records are added to the existing contents

of the database. News databases are common examples of cumulative updates. Updates to some

databases, however, replace some or all of the database contents. Company and other types of

directories are examples of replacement updates.

DataStar Databases

A few databases are reloaded on a regular basis. A database reload means that the entire content

of the database is replaced with revised content. MEDLINE® is a database that is reloaded each year

to reflect revised medical terminology applied by the National Library of Medicine to all the records

in the database.

Database sources

DataStar databases come from many sources, including publishers, professional societies, research

centers, government agencies. Dialog, LLC licenses the data from these providers for redistribution

through its online services. The copyright usually belongs to the provider, and each provider may

impose some conditions for how their data is used. For this reason, some data may be available

only via an annual subscription (e.g., Elsevier’s EMBASE Classic [EM73]).

Choosing the right database

The success of an online search depends in large part on the database(s) chosen. The following

Database Selection Checklist will help you in determining the appropriate database.

> What is the general subject? (e.g., business, science, environmental, etc.)

> What is the perspective of the question? (e.g., technical, consumer-oriented, academic, etc.)

> How much information is desirable? (e.g., overview, comprehensive, etc.)

> What type of database is needed? (e.g., directory, complete text, etc.)

Several tools, including this guide, are available to help you identify the best database(s) for your

research. In particular, DataStarWeb’s Find Database CROSS-Search is highly recommended as the

best online tool for discerning the most relevant databases for a given topic. Additional online

and print tools are available and are described in online helps on DataStarClassic and DataStarWeb.

DataStar Datasheets

While many databases are focused on similar subjects, each database is unique. Differences

may result from types of publications covered, data included, indexing standards, the presence

of a thesaurus, or special formatting options. Details of each database are documented in its

Datasheet. A DataStar Datasheet contains a description of the database contents, provider contact

information, specific data available for searching, tagging, output formats, search tips, and other

important features specific to the database. Datasheets are available online at library.dialog.com,

or as searchable text online in the BASE database.

DataStar provides a menu-driven, hierarchical subject inventory to all available active databases:

the CROSS Database Search (CROS). CROS, or Find Database on DataStarWeb, is an extremely

helpful directory to the databases available on DataStar. It is the best place to begin a search if

you do not know which databases will produce the most relevant information about your subject.

CROS presents the databases, either as an option to search all at once, or in subject groupings,

or in your own personal database lists. It reports how many matching records or “hits” are found,

and in which databases. CROS is a tool that guides you to the most appropriate sources of

information on your topic. When you’re not sure which databases have the information you need,

or where to find the most data available, use CROS as your first step.

Use CROS to find out which databases to search for:

> a subject area with which you are not familiar

> a very specific request

> a new product name

> an unusual author name

It is important to note that CROS does not actually retrieve the records from your search. CROS

is a directory only. You cannot print results here. You must begin the preferred databases to retrieve

and view the results.

The CROS main menu in DataStarClassic™, shows the hierarchical structure at the top level. Search

Create your own DataStar CROS Group with menu Option 10

Use CROS to set up a personal database list and to start a search with a saved personal database

group. This option refers to a database list created by the user and should not be confused with

PrivateStar (PRIV) or with a private file.

To create a personal database list, choose Option 10, “Your Choice,” from the CROS menu.

Then select option 101, “Create personal database list.” Follow the menu prompts to enter

database labels, for example, BNID, EMCA, KFND, for British Nursing Index, EMCare, and King’s

Fund, separated by commas. Press <ENTER> when done.

The menu will prompt you to enter a name between 6-8 characters to save the database list.

For example, enter NURSING and press <ENTER>.

DataStarClassic now places you in the CROS Group you just created. You can either enter search

terms to run a CROS search or ..CHANGE to go to another database.

Subsequently, to run a CROS search using a personal database list, start in CROS. Choose

option 10. Then choose option 102, “Use existing database list.” The inventory of saved database

lists appears. Type in the name of the list you wish to use and press <ENTER>. Key in search terms

and follow the CROS menu prompts.

You may create as many personal database lists as you need. To display existing personal database

lists, enter the command ..DISPLAY TYPE DBL. To display the list of files in a personal database list,

enter the command ..D DBL n where n represents the name of the database list, for example,

..D DBL NURSING. To delete a personal database list, enter the command ..PURGE DBL n, for

example, ..PURGE DBL NURSING. A nominal monthly fee applies for saved database lists. See

The section “DataStar Database List: DataStar CROS Group,” starting on page 27, enumerates

the databases included under each numbered section of the menu hierarchy.

Enter database label(s) separatedby commas. In this case one database, New England Journal of Medicine (NEJM) was entered.DataStarClassic moved fromCROS to NEJM and executed the search.

At this point you can refine thesearch or use ..PRINT to browsetitles or ..REPEAT to conduct thesearch in other databases.

DataStarWeb Database Finder: CROSS-Search

CROS is available on DataStarWeb with the “Find Database” button. The Database Finder

(Cross-Search) is an excellent tool for identifying which DataStar databases contain records

that match your search request. It is quite useful if you need to search for an unusual or very

new product or drug or an author’s name that you think may not occur in many databases.

It quickly informs you which databases, if any, contain information about your subject.

How to use Find Database

1. Click the “Find Database” button on the “Subjects” page. This takes you to the Database

Finder, where you can click on either a broad subject category or a subcategory. Alternatively,

for quicker results, narrow your selection by first choosing a subcategory on the “Subjects”

page, and then click the “Find Database” button.

2. Enter your search term(s) with up to 60 characters in the search line. Then press the

“Crossearch” button. DataStarWeb scans the databases listed in your subject category

and specifies the number of records found in each database. For quicker response time, keep

the search terms simple. The database group may be very large, and Database Finder looks

for the search terms in every database. You will be able to refine your search later after you

select a suitable database.

3. Wait for Database Finder to fully complete the search and to rank the databases in descending

order by number of results. An “F” in the display indicates a database contains the fulltext.

4. Review the list and select the database(s).

5. Press “Select Database(s)” and the system will construct a database list for you.

7. Select either “Easy Search” or “Advanced Search” mode.

8. Enter your search terms.

Note: Database Finder is not normally found on customized DataStarWeb sites.

When you click the “FindDatabase” button a search boxappears where you can enterterms.

You are allowed one search statement with up to 60 characters in this tool. Use logicaloperators (AND and OR) andtruncation (the $ is the truncationsymbol in DataStar). Search Tipsare available in all search screens.

Click the Crossearchbutton.

The answer screen processes the search query and presents a list of databases with the number of records found in each,in descending order. Now that you know which databases havedocuments that match yoursearch, you must choose one or more files in which to performyour search. You can check off all (Select All), one, or several pick boxes and then click SelectDatabases to open thefiles in order to perform a search.

Wait for DataStarWebto process the searchand rank databases.

This example shows Easy Search. A search screen appearswith query boxes and drop-downmenus that allow you to qualifyyour search to particular fields orto search the whole record. Entersearch terms or a phrase on thefirst line. You can add more termsin the second and third lines,using drop-down menus to select AND or OR or proximityconnectors. See “Help” next tothe drop-down menu for details.

Below the query lines“Information added since”options appear. For some databases a default for recordsadded in the most recent specified months appears in adrop-down box. You can eitherenter a specific update year(YYYY), year, month (YYMM), oryear, month, day (YYYYMMDD),or you can select an update timeframe, including “none” from the drop-down menu.

Click Search .

DataStarWeb takes you to theDatabases screen. Check off thedatabases or “Select All” and tapeither Easy Search orAdvanced Search .

Note: For Advanced Searchchoose one database to start.You can then repeat your searchin additional databases once you are happy with your searchstrategy.

A list of search statementsappears. Check off the box with the combined results fromall three databases. Click the“Remove Duplicates” button to execute the dedup command.

Titles appear and you can chooseto Remove Duplicates .

At this point, after havingchecked off records to display,you can choose the display format, the output format, andclick the Display button.
